Interlibrary Loan services for the VIMS community
Interlibrary Loan (ILL) is a service provided to VIMS /SMS faculty, staff and students to obtain materials relevant to their VIMS teaching and research that are not owned by Hargis Library. To obtain materials for your personal interests, please contact your local public library's interlibrary loan department.
Before submitting a request, please to check to see if we already have what you need. Below are some tips to help you.

How do I find out what's in the Hargis Library?
For books, thesis, dissertations and reports, search the Library Catalog.
For journals, first check the VIMS online journal list and then the William & Mary Electronic Journal List. Third, look at the VIMS Journals in Print list.
If you don't find your item, fill out a request form and we will do the rest. See below.
How do I request material on ILL?
Once you've determined that what you need is not available at Hargis Library, you should fill out one of the online request forms below for each item.
For multiple requests, once you have submitted a request, use your browser's Back button to return to the request form. Change the citation information and submit the new request. One request per form, please. You can bookmark these forms for quick access.
If requesting more than 10 items at one time, please indicate which are your highest priority.
What can I get on ILL?
You can get photocopies of journal articles, conference papers, and chapters in books. You can also borrow entire books, technical reports, atlases, maps, theses and dissertations. It is usually not possible to borrow rare or very old books, entire issues of a journal, computer programs and software manuals, or reference materials such as encyclopedias or dictionaries. However, we will always try to get whatever you need, so don't hesitate to submit a request.
Photocopies will usually be given to you to keep; items lent to us must be returned by the due date shown on the wrapper attached to the work. The format of the material lent (e.g., fax vs photocopy, microform vs paper copy) and the length of the loan period is determined by the lending library.
You can request items on ILL from libraries on the W&M main campus; there is no requirement that you must obtain these materials yourself unless you prefer to make the trip.
Please do not request entire works that you intend to place on reserve for a class; ask the library to purchase what you need.
How much does it cost?
As a service to the VIMS community, Hargis Library pays for all ILL charges.
How long does it take?
Allow at least a week for photocopies and 2 weeks for loans. Often materials will arrive more quickly, but the more time you allow, the better.
How long can I keep an item?
The library that lends the materials sets the loan period. Generally, you may keep an item for two weeks. Materials are due back to Hargis Library on or before the date posted on the loan form. Failure to comply with the condition of a loan can jeopardize your interlibrary loan privileges and/or those of Hargis Library with lending institutions.
Renewals are an exception and a request for extension should be made to Hargis Library at least 4 days prior to the due date, as the lending library must be contacted for permission. Some lending libraries do not permit renewals under any circumstance.
Interlibrary Loan lending policies for the non-VIMS community
If you are a W&M faculty member or student, you may borrow materials directly while at Hargis Library using your current W&M id. Loan periods will vary from those of Swem Library.
If you are not associated with VIMS or W&M and you want to borrow something from Hargis Library, please contact your local library and ask them to borrow it for you.
How to request: Libraries may send interlibrary loan request to Hargis Library via OCLC (our symbol is VIM), mail, or fax. IAMSLIC libraries may send requests via the Z39.50 Distributed Library.
Charges: We lend returnables for 6 weeks at no charge to all libraries. Photocopies are free to Virginia, SAIL, & IAMSLIC libraries, libraries participating in the ASERL & SoLine reciprocal ILL agreements, and libraries of other aquatic or environmental institutions. For all others, photocopies are $10.00 (1-25 pages) and $15.00 (26-50 pages). Charges are made via IFM in OCLC or by invoice accompanying the material.
Hargis Library is closed from December 24 - January 2 each year.
